You will be required to:

  • Undertake administrative tasks in support of the Country Manager and the Business Operations Administrator;
  • Utilise and manage the document management system of the JV portfolio of project;
  • Maintaining office systems including data management;
  • Manage the official JV protocol of incoming and outgoing communication (e.g. PEC emails);
  •  Provide an informed and professional point of contact for all public enquiries;
  • Accurately record minutes and actions at meetings;
  • Facilitate organisation of events such as stakeholder consultations;
  • Ensure seamless flow of information through effective communication to internal stakeholder;
  • Collaboration and sharing of best practice, within limits of confidentiality, with other team members within SBG;
  • Assist PMD and PM with monthly reporting;
  • Provide ‘front of house’ support for visitors during meetings;
  • Assist with procurement and the administration of contracts;
  • Maintaining internal document control.
  • Manage the recording of timesheets;
  • Provide support for induction for new team members;
  • Work closely to project team to maximise potential of project;
  • Ensure the office is operating effectively through management of office supplies;
  • Organisation of meetings, appointments, and executive travel;
  • Provide PA support for the project management team;
  • Provide support to accounts with purchase orders and invoices;
  • Participation in ad hoc project work and other administrative duties as requested by management;
  • Other support functions as required.

Requirements

  • 3years+ of project support and/or administration;
  • Fluent in Italian, with fluent English as a second language;
  • Proven experience in document management and document control;
  • Project Management or similar qualification would be an advantage;
  • Familiarity with Office 365 and SharePoint;
  • Valid driving licence.
  • Excellent organizational skills;
  • A methodical approach to planning with strong problem-solving skills;
  • Project management skills;
  • Good knowledge of administrative processes and IT systems;
  • Dependable team player with strong leadership skills;
  • Excellent written and oral communication skills;
  • Ability to multitask;
  • Other languages such would be a distinct advantage.
